FAQ

Common questions

We already use a shared address like leagueregistrar@gmail.com. Isn't that good enough?
It's better than a purely personal account, but the league still doesn't control it. The recovery phone number, backup codes, password, and two-factor settings belong to whoever created the account. There's no admin oversight, no audit trail, and no way to recover it if that person becomes unreachable. It also still reads as personal email to parents and sponsors. League-owned addresses at your own domain fix all of this.
Isn't Google Workspace free for nonprofits?
Yes — and that's the point. Google offers Workspace free to verified 501(c)(3) nonprofits; most leagues just never find out, which is why league business ends up on personal Gmail. The license is free through Google's nonprofit program, and you'll never pay us for it. The $1,000 is for the work: nonprofit verification, domain and DNS configuration, role-based account architecture, security baseline, documentation, and training — done right, and built to survive board turnover.
Where does our league's data live?
Only in your league's own Google Workspace. It never touches LeagueGM's servers — we don't extract, mirror, or retain copies of anything. Google Workspace is SOC 2 Type II and ISO 27001 certified, with encryption in transit and at rest.
What do we need before starting?
Current 501(c)(3) status in good standing, someone on the board authorized to approve the engagement, and about an hour of a board member's time across the three weeks for approvals and verification steps. If you don't have a domain yet, we'll guide you through registering one.
What's NOT included?
Domain registration (registered in your league's name and billed to your league directly by the registrar), website design, and registration-platform management. The engagement covers email, file storage, security, and the operational handoff.
Do you provide live training for our volunteers?
The engagement includes a written training package — quickstart guides designed for non-technical volunteers — plus 30 days of email support after handoff. That combination has proven more useful than one-time live sessions, because volunteers can reference it every season, including boards that haven't been elected yet.
What happens when our board turns over?
That's exactly what this setup is built for. The board transition playbook walks the outgoing and incoming boards through transferring access step by step. Because every address is role-based and league-owned, the transition is an access change — not a rebuild.
Our league uses a password manager / has some setup already. Can you work with that?
Yes. Existing domains, websites, and partial setups are folded in rather than replaced. We recommend the league adopt a password manager for shared credentials, though LeagueGM doesn't host or manage one — credentials belong to the league from day one.
